Most Businesses Don't Outgrow Their Accountant Overnight

Very few business owners wake up one morning and decide to change accountants.

In my experience, it usually happens gradually.

A VAT query takes several days to answer. Payroll becomes more demanding after taking on new employees. An HMRC letter is left unopened because nobody is certain what it means. Management reports arrive weeks after month-end, making them less useful for planning the business.

What I often notice is that the business itself has moved forward, but the financial systems haven’t kept pace. The spreadsheets that worked in the early days are now taking hours to update. Bookkeeping is squeezed around customer work, and reliable financial information always seems to be a few weeks behind.

Growing businesses rarely need more complicated accounting. They need better systems, clearer communication and advice that keeps pace with the way the business is changing.

That’s why I started Best-Assistant Accounting Ltd. My aim is to help businesses across Buckingham build accounting processes that support growth, giving owners the confidence to make informed decisions long before deadlines become a concern.

Meet The Accountant Behind Best-Assistant

Hello, I’m Polina, Founder and Director of Best-Assistant Accounting Ltd.

I’ve worked in accounting and payroll for more than ten years, supporting start-ups, sole traders, contractors, consultants and growing limited companies throughout the UK.

Before launching my own practice, I met many business owners who felt they had outgrown the support they were receiving. They weren’t asking for complicated financial advice. They simply wanted an accountant who answered the phone, explained things clearly and understood how their business actually operated.

That experience shaped the way I work today.

When you become a client, you’ll always deal directly with me. There are no account managers or support teams standing between us. I believe understanding your business is just as important as understanding your accounts.

I’m AAT Level 3 qualified and currently completing AAT Level 4. I also hold an ICB Level 3 Diploma in Payroll Management, I’m an Associate Member of ACIPP, and Best-Assistant Accounting Ltd is AML registered, ICO registered and professionally insured. I was also proud to be shortlisted as a Startup of the Year finalist.

What Changes As A Business Begins To Grow?

One of the biggest misconceptions I see is that accounting stays the same as a business grows.

In reality, growth changes almost everything.

The bookkeeping system that worked for a sole trader often struggles once employees join the business. VAT registration brings additional responsibilities. Payroll becomes more detailed, and business owners begin making decisions that depend on accurate financial information rather than rough estimates.

This is often the stage when clients contact me.

They don’t necessarily need more accounting services. They need accounting that’s better suited to where the business is today.

Helping clients strengthen their financial processes before they become obstacles is one of the most valuable parts of my role.

Many of the businesses I work with have reached a similar stage. They’re winning more work, employing more people and handling larger workloads than ever before, yet their financial systems haven’t evolved at the same pace.

I regularly support builders, estate agents, consultants, retailers and professional service businesses across Buckingham, Maids Moreton, Tingewick and Stony Stratford, helping them introduce practical accounting processes that support continued growth.

What Happens During Your First Month?

Case Study: Helping A Buckingham Property Maintenance Business Improve Financial Control

The Challenge

A growing property maintenance company had expanded from one owner into a small team, but its accounting processes hadn’t changed. Payroll, supplier invoices and CIS records were all managed separately, making monthly reporting unreliable.

What We Did

I reviewed approximately 920 transactions, introduced cloud accounting, reorganised payroll records and established a structured monthly bookkeeping process.

The Result

Within five months, administration time reduced by around 23%, reporting accuracy improved significantly and the owner gained much clearer visibility of labour costs, supplier spending and future tax commitments.

Frequently Asked Questions

It often happens when additional staff, VAT registration or higher workloads begin creating more administration than existing systems can comfortably handle.

Yes. Well-organised bookkeeping reduces duplicate work, makes reporting faster and gives you reliable information without spending hours searching for it.

Not automatically. I review how your business currently operates before recommending software, ensuring any changes genuinely improve efficiency.

Monthly reviews usually provide the best balance between staying informed and avoiding unnecessary administration.

Absolutely. Where existing systems are working well, I'll improve them rather than replacing them unnecessarily.

When Your Business Grows, Your Accounting Should Too

The systems that helped your business get started won’t always support where it’s going next. As your workload increases and financial responsibilities become more complex, having accurate information and reliable advice becomes increasingly important.

If your current accounting processes are beginning to slow the business down, I’d be pleased to help you build stronger financial systems that support your next stage of growth.
